ASCC Executive Meeting November 1st, 2011, Riverside Pub, Bedford Executive Members present: President: Debbie Miller Vice President/Membership: Jason Smith (Not Present) Treasurer: Brian Jarvis Secretary: Gordon Sleigh Race Director: Brian Gay (Not Present) Rally Director: Gordon Sleigh Solo Director: Taylor MacArthur (Not Present) Member/Directors at Large: George Sheppard Meeting called to order at 7:26pm, Members Present: 5 Old Business Presidents Report No formal president's report was provided. Membership Report Jason Smith was not present but the online Google Docs membership shows 159 Members. Issues regarding keeping the club membership list updated and communicated to all the required parties (ARMS, Pidge, etc) in a more timely fashion. With Jason Smith stepping down as Vice President/Membership this position is open for someone new. Treasurer Report $9512.52 Chequing $8474.09 PayPal Unreconciled Cheques total $37.37 $3000 in unremitted AMP expenses are outstanding. Some cheques remain to be written to James Partridge for misc towing expenses. Brian has reviewed the invoices for the Pig Roast and determined that Joanne Wilson may still be owed ~$85 for outstanding expenses. Taylor MacArthur has paid all expenses to the Millbrook Reserve for use of the lot. Brian Jarvis suggested a plaque or mounted photograph be presented as thanks. Debbie will discuss with Taylor and Kevin Doubleday. A discussion took place about making a donation to Gerry Elliot for his MS treatment. ASCC will donate $200 for his followup treatment. Brian will clear out the PayPal account prior to closing the books before the end of the year. Race Report Discussions took place regarding the race workshop which took place on Sunday in Truro. Only one member from MMSC attended. Rally Report Ian Pearce was present to discuss the state of the ASCC Stage Rally checkpoint boards. Since ASCC is not likely to run any Stage Rallies in the near future Ian has sought permission to transfer ownership of the boards to BAC for the purposes of their events. Brian Jarvis indicated he would prefer to sell them, even for a token cost. The executive disagreed and the boards will be donated to BAC gratis with the understanding that ASCC may require them in the future. Ian will get in touch with Ron McKenzie. The BAC T.O. Bridgewater rally took place Saturday, the final event of the 2011 ARMS Navigational season. 8 teams competed over 250 challenging night kilometres. In the end ASCC members Ian Pearce and Maria Driscoll won the Experienced Championship while ASCC members Jeremy Roberts and Donna Beattie won the novice championship. The 3rd and final BAC Performance event of the season took place on October 23rd with a RallySprint event. 4 teams competed the 18km event with no incidents. Bruce Beveridge and Adrian Spencer won the day. Ian discussed the logistics of the winter ASCC TSD Rally Event. Nothing is formalized but he has started the pre-prep work. Brian Jarvis indicated that he's done the foundation work for a rally but is seeking assistance from experienced organizers like Ian in how to set one up. Solo Report No solo events have taken place since the last meeting. There are no more Solo events until the 2012 season. New Business The ASCC AGM will be in December at the Riverside Pub. It was decided to make it a semi social event with the showing of a movie (The Ayerton Senna documentary was discussed). ASCC will provide appetizers as required. The January event will be a social event held at Kartbahn with club sponsored GoKarting. Debbie would like to have a Budget meeting with Brian to discuss future event and budget issues such as policies regarding proper event organizing to maintain profits or break evens.
