ASCC General Meeting May 11th, 2010, Riverside Pub, Bedford Executive Members present: President: Debbie Miller Vice President/Membership: Jason Smith Treasurer: Brian Jarvis Secretary: Gordon Sleigh Race Director: Brian Gay (Not present) Rally Director: Bill Anwyll Solo Director: Taylor MacArthur Member/Directors at Large: George Sheppard, Bill Anwyll, Umberto LoPresti (Not present) Meeting called to order at 7:45, 21 Members Present Old Business Gordon provided an update on the club meeting minutes and how to access them online. Presidents Report No formal presidents report was provided by Debbie. Membership Report 45 plus new memberships (Approximately 20 from the first Slalom of Sunday) It was suggested by Alan Coles that we do a club communication to members regarding membership renewals rather than wait for members to come to the club/events for membership. Jason Smith will look at doing a mailing from previous years' memberships. Treasurer Report $8320.57 Chequing $3296.99 PayPal A $975 cheque to ASN is outstanding for HPDS/SoloSprint insurance. An envelope full of cash from Slalom #1 was provided tonight. Jason will need a $750 cheque for 3 events at Scotia Speed World for 2010. A discussion took place regarding the PayPal account and the fees involved in receiving and transferring money. Last year PayPal feels accounted for $85 or so. It was agreed these fees were acceptable. Brian Jarvis indicated that for oversight purposes it should be treated like the checking account and that any withdrawals or purchases using the PayPal account be 'agreed' by two members of the executive. Insurance premiums are paid for 2010 and all is current. Race Report Brian Gay has arranged for the classroom session for the ASCC Race School to take place at Vantage motors. Currently there are 4 students registered. Bill Anwyll reported that there was more vandalism at the track with damage to the bathroom facilities which have been repaired. The paint vandalism on the track in 11 has been sandblasted and hopefully removed. There has been interest expressed in purchasing or leasing homes on the AMP property. Steve Manley's employer has expressed interest in exchanging automated security surveillance/monitoring services for the rights to place a radio tower at the facility. These inquiries are being investigated. The local ATV club will be contacted with the implication that continued vandalism will result in the closure of all the trailers at the facility. Bill updated on the situation with AARCA and the exchange of marshalling time for event credits at AFRA lapping days. ARL has signed a reciprocal agreement for both car and bike events. Credit/logging cards will be produced to track events. AARCA has created a new service price structure of $250/day flat rate on a weekend where marshalling and radio services are required. Van or equipment usage is a $50 rate regardless of AARCA presence. The track opening work party attendance was dismal with only 5 ASCC members attending with far more ARL members attending. Food services are going to be an issue this year as Joanne and Paul have sold their chip wagon. Joanne has recommended a provider for the first race weekend. The High Performance Driving School is now full. Jason has 3 on the waiting list, though several entrants have not deposited yet. The list will be finalized on May 14th. Pidge indicates that racing license renewals are coming in slowly, with only 9 drivers licensed at the moment. Rally Report The second regional Rally event of the season will be June 5th with the BAC Bluenose rally, starting and ending at the Windsor Curling Club. This event is organized by James Partridge and Bill Anwyll. The first RallySprint of 2010 will take place July 25th with an exciting 4 cars entered so far and potentially more. Volunteers will be required and more details for helpers/spectators will be provided in June. Solo Report The first 2010 ASCC Slalom event was Sunday at Scotia Speed World with 24 entrants. The event was a success with the weather holding off until the very final runs. The event took place on Mothers Day which certainly didn't help entrants. The next Slalom event is a Tuesday Evening event on June 15th at Scotia Speed World. Its being considered to make this event a pre-registration event only. Details will be forthcoming. The following event will be June 20th in Digby. The EVO school is now full with 12 students. The High Performance Driving School is also full. Brian Jarvis and George Sheppard will be attending to help out and take the club trailer to the school. The High Performance Driving School classroom session is May 22nd at SureShop Dispensing with the trace session being at 9am at AMP. AFRA is holding a track school/lapping day/T&T for racers. Ming Duc-Wong from MMSC will be attending the first SoloSprint of the season to see if MMSC is interested in hosting the 2nd SoloSprint of the season. New Business Jason attended the Speed Sport East show in Moncton. MMSC is to be commended with the job they did in hosting, however they desperately need more help in running this show and we should provide all assistance in the future. This event is very important for our region and would provide excellent visibility. Helping out in 2011 will be discussed. We should make a strong effort to have cars and a better booth presence there next year. ASCC will be hosting the ARMS AGM this year. We need to find hosting facilities. Jason Smith and Taylor McArthur will take up checking with facilities available. Future Inns and the Holiday Inn Express along the 102 will be contacted. A motion was made by Alan Coles, second by Taylor MacArthur to retroactively pay $1200 to AMP in advance for events of the year to assist with their bookkeeping. This was discussed at the ARMS presidents meeting and was pre-arranged. The motion was carried by the members in attendance. On behalf of AMP, Bill thanks ASCC for their consideration to the AMP budgetary situation. ASN Canada FIA decals have been ordered. ARMS, TRAC and ASCC patches have been ordered.
